Win-back timing: when to re-contact a lapsed youth-sports family
Lapsed families are the cheapest revenue a club can recover — but only if you reach them at the right moment. Here's the timing that converts a win-back, and the timing that wastes it.
Every youth-sports club is sitting on a list of families who used to enroll and stopped. It's the most valuable and most ignored asset in the building. These families already know you, already trust you, and are dramatically cheaper to bring back than a brand-new family is to acquire. The only reason most of them never return is that nobody reached them — or reached them at the wrong time.
Because win-back is not really a message problem. It's a timing problem.
Recency decides who's worth reaching first
Not all lapsed families are equal. A family that skipped one season converts on a win-back very differently than one that's been gone three years. Sort them by how recently they lapsed:
- Freshly lapsed (3–6 months): still warm. The kid's routine has a hole where your program used to be, life just got busy, and a well-timed nudge often brings them right back. These are your highest-yield win-backs — reach them first.
- Lapsed a season or two (6–18 months): recoverable, but they've likely found something else to fill the time. You're competing now, so relevance matters more.
- Long gone (18+ months): lowest yield. Worth a light touch, not your best effort. The kid may have aged out of the sport entirely.
A "reactivate everyone" blast treats all three the same and burns your list. Contact the freshly-lapsed with real intent, and touch the cold ones sparingly.
The window that actually converts: the season they left
Here's the timing insight most clubs miss. The best moment to win a family back is the two to four weeks before registration opens for the season their child used to play.
A family whose kid played fall soccer isn't thinking about you in January. They're thinking about it in August, when the fall calendar starts filling and every other activity is competing for that slot. Reach them then, about soccer — "registration for fall is open, and we saved your spot in mind" — and you're catching the decision as it happens. Send that same family a spring-basketball promo in January and you've spent your one good shot on the wrong sport at the wrong time.

Two more moments worth catching
Season timing is the big one, but two others convert well because they're anchored to the family's own calendar:
- Aging up. A kid who lapsed at the top of an age bracket is a different pitch a year later — now they fit the next tier. "There's a spot for a 12-year-old like [name] in the new division" lands because it's true and specific.
- The sibling opening. A family that lapsed with one child but still has a younger one coming up is a warm re-entry. You're not winning them back cold — you're enrolling the sibling and bringing the family back through the side door.
